Job Purpose/Mission Reporting to the Human Resource Manager and supporting both the HR Manager and Head of HR, the HR Business Partner (HRBP) is a key member of the Human Resources team responsible for implementing the HR Strategy and promoting a culture of collaboration, service excellence, transparency, accountability, innovation, and inclusiveness. The HRBP provides comprehensive HR support to all teams across the organization, including recruitment, employee relations, performance management, and compliance. Additionally, the HRBP plays a vital role in designing, delivering, and evaluating training and development initiatives that build organizational capacity and enhance employee growth.
Responsibilities Compensation, Benefits, and Talent Acquisition:
- Own the onboarding & offboarding function, and update staff database regularly, and ensure new hires are captured on the HR tool. Oversee and Liaise with Line managers on all due contract renewals or confirmations and prepare contracts or renewals for teams assigned and other ad hoc assignments. Prepare hiring and turnover reports including recommendations for procedures to reduce turnover.
- Managing relationships with the team and health insurance providers/vendors on issues relating to new additions, replacements, De-registering, and refunds.
- Ensure that the legal compliance and implementation of applicable statutory requirements (payment of NAPSA, Worker’s Compensation and National Health Insurance Service) for all teams.
- Manage monthly payroll updates to the HR Manager in line with current positions and help resolve and follow up on payroll queries (Salaries, Commissions, Bank details).
- Take full responsibility of the recruitment platform and manage it for the Human Resources team.
- Coordinate and participate in Job Grading as part of the Job Grading Committee.
Employee Engagement and Staff Welfare
- Conduct company surveys such as engagement surveys, Cost-benefit analysis, Salary surveys.
- Implement initiatives that lead to health, wellness, performance and overall satisfaction of staff. Assist and support the fun, interactive monthly and quarterly town hall meetings. All Hands meetings and other internal and external initiatives that celebrate and nurture culture and cohesion.
- Responsible for overall monitoring and monthly reporting of all employees’ leave days and ensuring that all Paid Time Off (PTO) plans are submitted through leave management module. Work with management to ensure leave alignment across the business unit.
- Work closely with the Health and Safety Team to ensure employee safety, welfare, wellness and health.
- Work closely with the facilities team to ensure that the Canteen operates within expected standards.
Employee Relations: HR policies and procedures:
- As the responsible HRBP assists with the communication of policies and ensures they are applied within the field team business units and enforce organizational values.
- Act as the primary point person for employee relations ensuring compliance with all local labor laws and policies for assigned Business units.
- Provide guidance and act as a bridge between management and employees by addressing demands, grievances, disciplinaries and other HR related issues
- Manage, handle and facilitate employee grievance and disciplinary cases in a fair, transparent and timely manner in accordance with the Company’s Disciplinary code and procedure, and labour laws.
Talent Management & Leadership Development:
- Work closely with management to execute any retention and succession planning and support initiatives to develop leadership skills in Leaders and Managers.
- In consultation with departmental heads, implement coaching and mentoring programs.
- Work closely with management and drive the learning and development programs and initiatives that provide internal development opportunities for employees
Performance Management and HR Compliance:
- Provide support to the teams at all levels to develop appropriate performance management culture and ensure the effective and timely implementation of the appraisal process of bi-annual and annual reviews, as well as the ongoing regular check-in meetings, to enable efficient performance management and Individual development plans.
- Engage Heads of departments with regards to learning and development programs and training opportunities for employees at all levels.
Knowledge and skills
Experience :
- Minimum of 4-5 years’ experience in Human Resource Generalist Role
- Knowledge of office and administrative practices
- Skill in both verbal and written communication
- Skill in problem solving and decision-making
Qualifications :
- A Bachelor's degree in Human Resources or related field
- A professional qualification/certification in HR
- Fully Paid up member of the Zambia Institute of Human Resource Management (ZIHRM)
Language(s):
- English
- Local Language is a plus
Technology :
- Proficient in Microsoft Office and Google Docs
- Knowledge of an HR Tool
