Corporate Administrative Assistant (Full Time)

Location: Ditty Ave

CORPORATE ADMINISTRATIVE ASSISTANT REGULAR FULL TIME - $22.00-24.00/HR SHIFTS: MONDAY-FRIDAY OFFICE HOURS (8:00AM-5:00PM) Position Summary The Corporate Administrative Assistant supports the business office operations through a range of tasks and responsibilities; including reception, customer service, scheduling, data entry, and document management and coordination. This role requires strong organizational and communication skills and the ability to multitask effectively across various business functions.

Essential Duties And Responsibilities

  • Greet, welcome, and direct visitors with excellent customer service.
  • Answer phone calls, handle inquiries, and transfer calls with a pleasant manner.
  • Transcribe voice mail messages as needed.
  • Maintain a safe and clean reception area and conference room.
  • Perform data entry accurately for specific tasks and special projects.
  • Carry out administrative duties such as filing, typing, copying, labelling, scanning, etc.
  • Sort invoices for Accounts Payable.
  • Enter donations on the designated spreadsheet.
  • Sort and distribute incoming inter-company mail and deliver envelopes.
  • Send and receive packages and documents via FedEx or Roadie.
  • Match copies of inter-company transfers, ensure accuracy and completeness, and file documents.
  • Maintain the breakroom and monitor supplies, placing orders as needed.
  • Schedule and manage product demos for stores as needed.
  • Hang weekly ads and send copies of them to Daly Design.
  • Perform opening or closing office duties.
  • Maintain the equipment of the Conference Room.
  • Maintain the integrity, confidentiality, and accuracy of office files and records.
  • Assist with the administrative support of the Human Resources department.
  • Perform other duties and projects assigned to support various business needs and ensure smooth office operations.

Skills & Qualifications

  • Minimum of one year in an administrative role or two years in a general clerical role
  • Demonstrates a positive, professional attitude with strong customer service abilities.
  • Excellent interpersonal, communication, and problem-solving skills for interacting with a diverse population.
  • Strong organizational and time-management skills with keen attention to detail and the ability to manage multiple priorities.
  • Proficient in keyboarding and 10-key by touch with accuracy.
  • Competent in Microsoft Office Suite (Word, Excel, and Outlook).
  • Capable of producing reports and manipulating data to support business operations.
  • Able to work independently, exercising sound judgment.
  • Skilled in operating office equipment, including fax, copier, printer, scanner, and email functions.
  • Ability to read, comprehend, and interpret general documents, write emails, simple instructions, and short correspondence.
  • Able to effectively present information in one-on-one and small group settings.
  • Proficient in basic math operations, including addition, subtraction, multiplication, and division using whole numbers, fractions, and decimals.
  • Able to calculate rates, ratios, and percentages accurately.
  • Applies common sense to follow detailed written or oral instructions.
  • Able to address problems involving a limited set of concrete variables within standardized situations.
  • Bilingual proficiency in English/Spanish is preferred.

EDUCATION, CERTIFICATES, LICENSES

  • High school diploma or GED required.
  • Administrative Assistant Certificate preferred.

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT - While performing the duties of this job, the employee is:

  • Regularly required to communicate verbally, as well as use vision and hearing to perform job duties effectively.
  • Frequently required to sit and use hands and fingers for tasks such as operating a keyboard, mouse, and handling phones, files, and paperwork.
  • Frequently required to read and comprehend written material.
  • Frequently required to stand, walk, and reach with arms.
  • Occasionally required to bend, twist at the waist and neck, and lift or move objects up to 25 pounds.
  • The typical noise level in the office work environment is moderate.
  • Occasionally, duties may be performed in a warehouse, store location, or outdoor environment were intermittent noise from machinery, activity, or overhead speakers may be present.
