Job Description:
Role Summary
The Event Officer plans, executes, and evaluates company events (internal/external) to achieve marketing, brand, and revenue objectives. The role manages timelines, budgets, vendors, and on-site operations to deliver seamless, on-brand experiences.
Reports To
Marketing/Events Manager (or Head of Marketing)
Key Responsibilities
- Plan event concepts, scope, timelines, run-of-show, and budgets.
- Source, negotiate, and manage vendors (venue, AV, staging, décor, catering, security).
- Coordinate cross-functional teams (marketing, sales, PR, design, finance, HR).
- Manage event registrations, ticketing, guest lists, and VIP protocols.
- Oversee permits, insurance, safety, and compliance requirements.
- Lead on-site setup, rehearsals, staff/volunteer briefings, and live operations.
- Drive event promotion (social, email, partners, influencers, OOH) with Marketing.
- Track deliverables for sponsors/partners and fulfill benefits.
- Monitor KPIs (attendance, engagement, leads, ROI) and produce post-event reports.
- Manage inventories (branding materials, booths, giveaways) and logistics.
- Handle vendor invoicing, reconciliation, and after-action debriefs.
- Maintain an annual event calendar and process documentation.
Qualifications
- Bachelor’s degree in Marketing, Communications, Business, or related field (or equivalent experience).
- 2–4 years in events, experiential marketing, or project coordination.
- Proven experience running corporate, consumer, or community events.
- Strong budgeting, negotiation, and vendor management skills.
- Excellent communication in English (additional languages a plus).
- Proficient with MS/Google Suite; event tools (e.g., Trello/Asana, Eventbrite) a plus.
