Role Summary

The Event Officer plans, executes, and evaluates company events (internal/external) to achieve marketing, brand, and revenue objectives. The role manages timelines, budgets, vendors, and on-site operations to deliver seamless, on-brand experiences.

Reports To

Marketing/Events Manager (or Head of Marketing)

Key Responsibilities

  • Plan event concepts, scope, timelines, run-of-show, and budgets.
  • Source, negotiate, and manage vendors (venue, AV, staging, décor, catering, security).
  • Coordinate cross-functional teams (marketing, sales, PR, design, finance, HR).
  • Manage event registrations, ticketing, guest lists, and VIP protocols.
  • Oversee permits, insurance, safety, and compliance requirements.
  • Lead on-site setup, rehearsals, staff/volunteer briefings, and live operations.
  • Drive event promotion (social, email, partners, influencers, OOH) with Marketing.
  • Track deliverables for sponsors/partners and fulfill benefits.
  • Monitor KPIs (attendance, engagement, leads, ROI) and produce post-event reports.
  • Manage inventories (branding materials, booths, giveaways) and logistics.
  • Handle vendor invoicing, reconciliation, and after-action debriefs.
  • Maintain an annual event calendar and process documentation.

Qualifications

  • Bachelor’s degree in Marketing, Communications, Business, or related field (or equivalent experience).
  • 2–4 years in events, experiential marketing, or project coordination.
  • Proven experience running corporate, consumer, or community events.
  • Strong budgeting, negotiation, and vendor management skills.
  • Excellent communication in English (additional languages a plus).
  • Proficient with MS/Google Suite; event tools (e.g., Trello/Asana, Eventbrite) a plus.
