Job Description:
We are looking for a highly organized, proactive, and discreet individual to join us in a unique hybrid role that combines being a Personal Assistant (PA) to our Founders, overseeing daily office administration, and managing operational tasks in our HR system (HiBob). This is an opportunity to be at the heart of the company’s rhythm, supporting both people and processes that drive our success.
Responsibilities:
HR Operations (HiBob)
- Own the ongoing maintenance of employee records within HiBob, ensuring accuracy and compliance.
- Support the employee journey onboarding, offboarding, and everything in between.
- Be the friendly face (and go-to support) for managers and employees navigating HiBob.
PA to Founders
- Manage the founders' calendars, schedule meetings across time zones, and ensure smooth coordination with internal and external stakeholders.
- Coordinate travel, transportation, and accommodation for business and personal needs.
- Handle personal errands and assist with tasks related to the founders’ day-to-day needs.
- Manage payment coordination and administrative follow-up for both business and personal matters.
- Act as a reliable point of contact for internal and external parties.
Office Administration
- Oversee day-to-day office operations and ensure a clean, functional, and welcoming workspace.
- Order office supplies and manage inventory.
- Organize team events, welfare activities, and employee engagement initiatives.
- Liaise with vendors, service providers, and building management.
Requirements:
- At least 2 years of experience as a PA, Office Administrator, or in HR Operations, ideally in a tech/start-up environment.
- Hands-on experience managing calendars and travel arrangements for executives.
- Experience working with HiBob – must
- Exceptional organizational and multitasking skills.
- Strong interpersonal and communication skills in English .
- Discretion, reliability, and ability to handle confidential matters with care.
- Can-do attitude, team player, and a sense of ownership.
